Phase 1—Operational Backbone (Day 1-180)
Build the machine: Map every core workflow (sales, client onboarding, delivery, finance) and convert them into crystal-clear SOPs and Asana boards.
Own the dashboard: Establish KPIs and a weekly scorecard covering pipeline velocity, project margins, client NPS, and CEO hours reclaimed.
Tame the calendar and inbox: Run the CEO’s schedule like air traffic control—zero conflicts, clear prep briefs, rapid de-clutter.
Single-threaded integrator: Coordinate proposals, invoices, and vendor contracts; surface decisions to the CEO only after you’ve teed up options.
Manage the crew: Lead virtual assistants and contractors, set expectations, and hold the team accountable.
One-hour weekly sync: Bring data, decisions, and roadblocks—leave with clear go-aheads.
Phase 2—Strategic Leverage (After 6 mos. of hitting KPIs)
Scale infrastructure: Evaluate and implement the next-level tech stack (CRM, LMS, AI tools) to handle 3-5× current client volume.
Budget & resource planning: Partner with the CEO to forecast revenue, model hiring needs, and protect margins.
Special initiatives: Stand in for the CEO on select client meetings, partnerships, and speaking engagements.
Culture steward: Maintain CPWCG’s values of psychological safety, inclusion, and joy as we grow.
CEO’s strategic time expands from 40% → 70% within six months.
All recurring tasks run on documented SOPs with 95% on-time completion.
Weekly scorecard hits green on ≥80% of metrics for three consecutive months.
5+ years running operations for a consulting, agency, or professional-services firm (bonus: Project Management or Lean Six Sigma experience).
Track record of building KPIs and SOPs from scratch—show us the before/after.
Mastery of modern ops tech (Asana, Airtable, Pipedrive/HubSpot, Slack, Google Workspace, Zapier).
Killer prioritization instincts and the confidence to say “no” or “not now” to protect focus.
Polished communicator who can distill complexity into one-page briefs.
High emotional intelligence, proactive, unquestioned discretion, and a bias for action.
Bachelor’s in business or related field (operations chops trump pedigree).
Able to be on-site in Portland, OR/Vancouver, WA, for key meetings and quarterly planning sessions.
